What data does it include?

  • Client Records - All data from Year 1 (2003/4) until Year 7 (2009-10) Interim
  • Short-term Outcomes - All data from Year 1 (2007-8) until Year 3 (2009-10) Interim
  • Long-term Outcomes - All data from Year 1 (2007-8) until Year 3 (2009-10) Interim

What does it do?

You can choose:

  • which year's data you want to know about
  • which level of information you want - England, region, AA (note: England figures are shown if you do not choose a Region or an AA; if you want to choose an AA then do not choose a Region as well)
  • what information - choose from the drop-down lists the variables you want to know about and then press GENERATE.

I have just received a password for the new reporting feature, what does this allow me to do?

By choosing your AA and entering your password, you can see reports at provider and service level for services funded by your own AA.

Data Quality

Client Record and Outcomes data is submitted by service providers across England.

Copies of the forms and guidance about how to complete these are available from this project website. Guidance includes: Guidance Manuals, Quick Reference Cards, and training slides; as well as helpdesk advice which is available by phoning our helpdesks (01334 461765 or 01334 4617258) or emailing sphelp@st-andrews.ac.uk.

Data can be submitted using free project software developed by CHR or by extracting information from service providers' own housing management systems in accordance with schema provided by CHR. These submission procedures ensure that data is submitted in the correct format. The project software incorporates coding for validation checks e.g. checking for values within range and also cross-checking answers across questions where appropriate e.g. a man cannot be receiving a service in a women's refuge.

These checks provide initial error messages for the user so that they can correct information before submission. Following this, data is entered onto CHR's system and additional validation is carried out: where submissions have missing information or incompatible answers then CHR's team of Quality Assessors contacts service providers to resolve these.

Each quarter, further data checking is undertaken by staff at CHR before producing quarterly datasets. Regular duplicate checks are also made to remove any entries where providers inadvertently submit the same records on more than one occasion.

In addition, Administering Authorities can send changes to information in their datasets, e.g. service name or service ID to CHR and these can be made for inclusion in the next version of the quarterly dataset up until the final version of that data collection year (end August for previous April – March).

Whilst completion of the Client Record and Outcomes Forms is not mandatory, service providers are often required to complete them as part of contractual arrangements with their commissioning Administering Authority. Therefore the data underlying the web reporting facility and any data analysis, e.g. Key Findings documents, Annual Reports and short papers, are based on the information received from service providers who have submitted forms. Approximately 200,000 Client Record Forms are received each year and the numbers of Outcomes Forms received is rising over time.
